An organisation based in Rochester, Kent, is seeking a highly motivated Sales Administrator to join their dynamic Service Department.

Position Overview:

In this fully on-site role, the Service Support Administrator will play a crucial part in ensuring the smooth operation of service activities. Serving as a primary point of contact for valued clients, the successful candidate will liaise with them and collaborate closely with the engineering team to reduce downtime through Planned Preventive Maintenance and effective management of reactive call-outs. Strong organisational skills and a commitment to excellent customer service will be essential to succeed in this position.

Key Responsibilities:

  • Managing incoming telephone inquiries and directing calls as necessary.
  • Coordinating and scheduling maintenance and service activities for the engineering team.
  • Handling client communications, including sending quotes for remedial works and monitoring payment processing.
  • Maintaining meticulous records of service contracts, approvals, and relevant documentation within the CRM system.
  • Preparing Risk and Method statements for upcoming works while ensuring all safety protocols are followed.

  • Proven experience in an administrative role, ideally within a service or logistics setting.
  • Proficiency in Microsoft Office and the ability to effectively manage time and prioritise responsibilities.

  • Methodical, proactive problem-solving skills with a keen attention to detail.

Qualifications:

  • Essential: A minimum of 2 years in an administrative role; experience in a busy service or logistics environment; IT literate, with proficiency in MS Office and database operations.
  • Desirable: Familiarity with CRM and ERP systems; knowledge of HVAC systems.
