We are currently recruiting for a dynamic and fast-paced family-run events management company, who are seeking a professional Receptionist/ Admin Assistant to join their team on a permanent basis.

As a Receptionist and Administrative Assistant you will work as part of the Office Admin team, providing a friendly and welcoming service to callers, visitors, and colleagues in a manner that reflects the company values.

What you will be doing as a Receptionist/ Admin Assistant?Act as first point of contact for all visitors to the building, confirm nature and purpose of visit, and direct or escort them to specific areas within the office in a warm and welcoming manner. Answer, screen and forward phone calls, answering questions and relaying accurate messages to colleagues as appropriate Perform administrative support tasks such as proofreading, filing, and scanning. Send information or documents to customers, using email, or mail as directed. Convey information within the business and the wider Group on updated contact numbers and changes of location of departments or offices of employees within the organisation. Keep a current record of staff members' whereabouts and availability. Collect, sort, distribute and frank mail, and organise couriers. Maintain office space; ensuring all communal areas (including Kitchens) are clean and presentable for guests and employees Provide refreshments to guests as required Ensure office supplies are stocked: stationery, refreshments etc. Purchasing supplies as needed. Liaising with the Utilities Manager on various matters (maintenance or other issues as they arise.) Liaising with contractors/suppliers as required (eg weekly fruit delivery, office flowers/plant suppliers etc.) Schedule and manage meeting room requirements within the building Attend relevant meetings as required Maintain front door and car park security Monitor group email inboxes and action/direct accordingly Participate in training and other learning activities and performance development as required Check first aid boxes on a monthly basis and order supplies as necessary Undertake first aid training course, and work with employer on all issues to do with Health, Safety and Welfare What experience is required in the role of Receptionist/ Admin Assistant?

  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
  • Strong organisational and time management skills.
  • Excellent communication and interpersonal skills.
  • Attention to detail and accuracy in data entry and record-keeping.
  • Ability to work under pressure, and flexible attitude to hours
  • Previous Reception/Office Admin experience is a plus.
  • Candidate must be fluent in written and verbal English - additional language skills a plus
  • Represent the company with a positive attitude and professional appearance
