Success Recruit are currently working with a reputable legal firm on the outskirts of Chelmsford, seeking a PA / Administrator to join their friendly and supportive team. The successful PA / Administrator will work closely with the conveyancing team and partners, providing secretarial & administrative support. This position will suit someone who enjoys a fast-paced environment, where no two days look the same. A legal and / or property background could be beneficial.

The successful PA / Administrator expectations:

  • Demonstrate strong communication skills - both written & verbal
  • Proficiency in MS Office Suite (Word, Excel, Outlook, PowerPoint) - familiarity with conveyancing-specific software + audiotyping would also be an advantage
  • Ability to prioritise workloads and meet deadlines
  • Hold a Driving Licence & own a car due to rural location of the office

Job Description

The PA / Administrator will be client-facing, heavily involved with file / diary management, administration, invoicing, and other Adhoc PA duties. The ideal candidate will be detail oriented, organised, adaptable to changing priorities / demands of the business, and adept at problem-solving.

Duties to include but not limited to:

  • Drafting, formatting, and proofreading legal documents related - including lease extensions, contracts, transfer deeds, and Land Registry forms
  • Maintaining / organising electronic and paper filing systems, ensuring document accuracy and accessibility.
  • Managing / coordinating schedules - arranging meetings, appointments, and key dates in the conveyancing process
  • Serving as the first point of contact for clients, handling enquiries professionally and ensuring all client communications are recorded and followed up as required
  • Providing comprehensive administrative support - including typing, photocopying, scanning, and filing documents, managing incoming / outgoing mail, and processing expenses
  • Assisting with the preparation and submission of property searches
  • Assisting with the preparation and processing of conveyancing-related bills and invoices
  • Working collaboratively with other members of the conveyancing and administrative teams, supporting firm-wide initiatives & projects
  • Ensuring all tasks are performed in accordance with the firm’s policies and procedures, as well as relevant legal regulations
  • Ensuring the confidentiality and security of all Practice and Client documentation and/or information

Hours: Monday to Friday - 9.00am to 5:30pm (full-time office based)

Salary: £26k - £30k DOE
