Join our team as an Operations Assistant and play a crucial role in managing the day-to-day operational tasks of our prestigious Guild Operator, one of only 25 in the UK. This position is ideal for people who are highly organised, proactive, and possess strong administrative and customer service skills.
Day-to-day of the role:
- Respond to general telephone queries and manage the company’s email mailboxes to address all correspondence promptly.
- Manage quotations and bookings, including entering details, following up, confirming, and liaising with the Finance Team for invoicing.
- Provide timely quotations and pricing for day hires and tours, updating relevant portals accordingly.
- Coordinate logistics with drivers, prepare work tickets, and ensure all details such as hotels, parking, and maps are complete.
- Perform checks on driving licences, digital tachograph cards, and CPC cards as required.
- Maintain the tour schedule, arrange bookings (ferries, parking, driver accommodation etc.), upload documents, and ensure European tours meet all legal requirements.
- Assist with checking tour itineraries to comply with drivers’ legal working and driving hours, liaising with clients for necessary amendments.
- Monitor and update school transport and service routes in Coach Manager, keeping timetables and contracts current.
- Log and process lost property and address complaints, providing feedback to clients or escalating issues to the Operations Manager.
- Communicate effectively with customers and other departments, providing support in person, via phone, and email.
- Prepare reports, spreadsheets, briefing notes, and correspondence materials.
- Post regularly on the company’s internal communication platform with essential information and recognition posts.
- Support project management tasks and attend company meetings to contribute insights.
Required Skills & Qualifications:
- Certification in office administration is ideal.
- Previous administration and customer service experience is essential.
- Proficiency in Microsoft Office applications, including Word, Excel, and Outlook.
- Excellent verbal and written communication skills.
- GCSEs (or equivalent) in English and Maths.
- A proactive and positive attitude, excellent time management skills, and the ability to work independently.
- Flexibility to meet business and industry needs, with a willingness to learn and adapt.
