About the Role:

Reed is seeking a proactive and organised Office Manager to join our client’s dynamic team. This role is crucial in ensuring the smooth operation of the office and maintaining a safe, welcoming environment for staff and clients.

Key Responsibilities:

  • Operational support: support senior leadership to identify and implement techniques and process to maximise resources and ensure continuous improvement
  • Project support: monitor progress, allocation of resources and budgets while ensuring projects are delivered on time and to the highest standards
  • Administrative Compliance: Handle administrative tasks related to office compliance, including managing insurance, energy, fire safety, and council tax.
  • Office Supplies Management: Purchase and manage office stock, including consumables such as tea and coffee, ensuring the office is always well-stocked.
  • Client and Visitor Coordination: Welcome clients and visitors, support the coordination of office visits, administer the hot desk policy, manage parking spaces, and organise refreshments for meetings and workshops.
  • Recruitment and HR Administration: support the coordination, screening and post vetting process for recruitment and onboarding
  • Security Clearances: Run security clearances for staff and visitors to ensure a secure working environment.
  • SharePoint Management: Manage SharePoint filing systems to ensure documents are organised and easily accessible.
  • Social Media: Post content on social media platforms (content will be provided).
  • Office Operations: Manage the opening and closing of the office, ensuring all security protocols are followed.
  • Health and Safety: Implement and monitor health and safety policies to maintain a safe working environment.
  • Coordination with Contractors: Coordinate with cleaners and contractors to maintain high office standards and ensure all facilities are in good working order.

Qualifications:

  • Proven experience in a similar role.
  • Strong organisational and multitasking skills.
  • Excellent communication and interpersonal abilities.
  • Proficiency in using office software and managing SharePoint.
  • Knowledge of health and safety regulations, beneficial not essential.
