We are currently seeking a highly organised and detail orientated Personal Assistant, ideally with accounting or finance experience to support the COO of our growing client based in Chepstow.
The ideal candidate will manage daily administrative tasks, assist with basic financial duties and help streamline operations to ensure a smooth workflow within the executive office. Thei role requires someone with excellent communication skills, a proactive approach to problem solving and the ability to handle sensitive information with discretion.
Key Responsibilities:
- Administrative Support
- Manage the COO’s calendar, schedule meetings, and coordinate travel arrangements.
- Handle phone calls, emails and correspondence on behalf of the COO.
- Prepare and organise reports, presentations and documents for internal and external meetings.
- Ensure timely follow ups and prioritisation of tasks for the COO.
- Accounting assistance.
- Assist with Financial data entry, invoicing, expense tracking, and reconciliation.
- Prepare basic financial reports, such as balance sheets and cash flow statements.
- Support budget preparation and financial forecasting.
- Review vendor invoices and ensure timely payments.
- Work with the finance department to ensure accuracy in accounting records and compliance with financial regulations.
- Operations support.
- Assist the COO in project management by tracking project timelines, budgets, and deliverables.
- Coordinate communication between different departments, especially between operations, finance and project management teams.
- Perform research and gather data to support decision making.
- Maintain filing systems, both digital and physical for contracts, project documents and financial records.
Requirements:
- Experience as a Personal Assistant to Senior Management or Director ideally within the construction sector.
- Experience in Accounting or Finance.
- Solid understanding of accounting principles and financial reporting.
- Proficiency in QuickBooks, Xero or similar accounting software is highly desirable.
- Strong organisational and time management skills.
- Proficiency in Microsoft office Suite.
- Excellent written and verbal skills.
- Ability to Multitask.
- High level of professionalism and discretion when handling sensitive information.
- Strong attention to detail and accuracy in accounting tasks.
Preferred Qualities:
- Prior experience in the construction industry would be preferred but not essential.
- Familiarity with construction project management software.
- Ability to anticipate the needs of the COO and take initiative.
- Problem solving mindset and proactive approach to challenges.
