This is an exciting role for a talented individual who is looking for a new challenge, wants to join a fast paced and high performing team renowned for their approach and delivery of unparalleled service. We are looking for a Property Administrator to undertake the following duties on a day-to-day basis: Key Responsibilities路 Input of documents, property asset information and job orders into the Property Planning Maintenance Program system. 路 Create, manage and allocate job orders to operatives on Property Management System (Cherwell). 路 Liaise with the Maintenance and Installation Manager, Property Senior Maintenance Supervisor, contractors, suppliers, operatives within Property Department, Head Gardener and Gardening Team, and companywide. 路 Collation of financial information. 路 Create financial spreadsheets in Microsoft Excel as and when requested by Management. 路 Following up on invoices, chasing suppliers and creating purchase orders. 路 Create and manage Purchase Orders on Purchase Order system. 路 Liase with Accounts Department for invoice processing. 路 Placing online orders for goods and materials and chasing suppliers for delivery dates. 路 Arranging site visits for contractors. 路 Liase with contractors to plan for attendance on site. 路 Coordinating expense forms for management. 路 To keep records of Department Company Credit Card transactions, petty cash and copies of receipts to upload onto system (SAP Concur). 路 Create and update Inventories as requested by Management. 路 Create and update Property General Condition Inspection Reports for all Surrey Properties. 路 To monitor and manage communications in your Mail Inbox, Teams and over the phone. 路 To distribute letters and parcels accordingly as they arrive throughout the day. 路 To create packing lists in Microsoft Excel to manage shipments. Knowledge/Experience/Skills/Abilities* Advanced computing skills in MS Word and Excel. * Excellent organisational skills. * Previous administration experience gained from working in property or facilities in either a corporate facilities or private property environment. * Experience in creating purchase orders and seeking authorisation for payment.
