We are looking to hirefull-time, on-site roleas a Logistics Operations Co-ordinator with a minimum 4 years logistics experience. Our company is specialised in (HIU's)heating, cooling, combined and bespoke interface units and with a comprehensive support services and maintenance. Our range of ModuSat heat interface units are designed, developed and manufactured in UK and Romania to meet industry standards. We are located in Chessington and we are committed to delivering efficient and sustainable heating solutions for communal and district heat networks.

Role description:

As a Logistics Coordinator, you will be responsible for coordinating and managing the logistics and operations of sales. This includes orders processing, inventory management, receiving stock, booking into their destination, preparing and shipping goods out.
Also you will provide support to the sales team by assisting with the projects inquiries, orders tracking and maintaining the sales records.
Jobbrief:
  • Providing administrative support to the logistics team using the companys computer system.
  • Checking emails, taking phone calls and acting accordingly.
  • Resolving queries and complaints for customers.
  • Sending out literature and correspondence as required.
  • Liaising with suppliers overseas.
  • Tracking orders and keeping the logistics team leader updated.
  • Receiving stock, booking into their destination, preparing and shipping goods
  • Update the stock of the warehouse weekly, create orders.
  • Oversight of our vans stock Ensuring the engineers vans stock is correct and up to date and record into the system as requested.
  • Dealing with all the requisition forms for buying goods from various suppliers.
  • Resolve any issues or discrepancies with suppliers in a timely and professional manner.
  • Reviewing all internal cost sheets within the department to ensure invoices are being reconciled correctly, and completing monthly accruals as required.
  • Create quotes for customers.
  • Issue the invoices from the quotes and make sure the goods are ready for dispatch.
  • Issuing internal credit notes.
  • Liaison with our sales and technical team.
  • Creating intercompany orders/invoices
  • Communication with our factory in Romania & our suppliers to ensure all stock is ordered and scheduled for production.
  • Updating the systems with current prices.
  • Tracking and updating all the units shipped from Romania and delivered to the clients.
  • Carrying out the daily transport duties.
  • Communicating with Sales for upcoming projects
Liaising with the production team and third-party carriers, to ensure delivery dates and times are adhered to in accordance with agreed timescales.

Skills and Knowledge:
  • Strong written and verbal English communication skills is essential;
  • Excellent organizational, time management and prioritization skills with an ability to respond to urgent matters quickly and work independently.
  • Highly organised with impeccable attention to detail;
  • Proficient using Excel;
  • Ability to multi-task in a fast-paced work environment;
  • Customer service-orientated mindset to provide excellent support to customers;
  • Can-do attitude;
  • Knowledge of sales operations and logistics processes;
  • Ability to learn in-house programs;
  • Able to meet deadlines;
  • Relevant certifications or qualifications in sales or logistics;
  • Able to carry out physical work such as lifting, packing and distributing boxes/parcels regularly.
