We are excited to offer an excellent opportunity for a Defleet Service & Refurbishment Administrator to join a dynamic and growing company at their Chesterfield Head Office.

The Role

In this crucial administrative role, you will be responsible for managing service documents, handling service-related queries, overseeing refurbishment charges and managing disputes. You will play a key role in supporting the Defleet process, ensuring the smooth transition of vehicles through their lifecycle and contributing to the overall efficiency of operations.

You will be part of a dedicated team of 9 professionals, handling various aspects of the Defleet process, including inspection and collection requests, logging service documents, raising settlement and disposal invoices and maintaining excellent communication with customers and colleagues.

Key Responsibilities

  • Manage refurbishment and contract hire recharges, including invoicing, claims processing and dispute resolution.
  • Log vehicle Defleet, review inspections, resolve documentation gaps and maintain accurate records.
  • Ensure compliance with penalty invoices and preregistered vehicle notifications.
  • Provide proactive support, streamline Defleet activities and generate fleet performance reports.
  • Build strong relationships with customers and colleagues, ensuring outstanding service delivery.

We’re Looking for Someone Who:

  • Has experience in vehicle leasing, rental, or a dealer environment.
  • Possesses knowledge of warranties and vehicle servicing.
  • Is dynamic, outgoing, and ambitious.
  • Thrives in a fast-paced and structured environment and can effectively prioritise workload.
  • Is proficient in MS Office (Outlook, Word, Excel).
  • Demonstrates strong verbal and written communication skills.
  • Can learn quickly and perform well under pressure.
  • Wants to work for one of Britain’s best local operators within the country’s largest vehicle rental network.
