Private Family Office Assistant

Reports To: Principal's Personal Assistant

Salary: £40,000 to £50,000pa based on experience

The Burford Recruitment Company are working on behalf of a private family who are seeking a highly organised, proactive, and adaptable Private Family Office Assistant to support the Principal's PA and assist in managing the day-to-day affairs of a prestigious and busy large country estate.

As the Private Family Office Assistant, you will work closely with the Principal's PA and collaborate with the wider household staff team to ensure smooth operation and efficient management of the estate and family affairs. You will be involved in a diverse range of tasks, from administrative duties to more hands-on support, requiring flexibility, discretion, and a keen attention to detail.

Key Responsibilities:

  • Assist the Principal's PA on a day-to-day basis with tasks such as scheduling appointments and organising meetings.
  • Handle correspondence, emails, and phone calls on behalf of family members.
  • Prepare documents as required.
  • Coordinate with the wider household staff team to ensure smooth daily operations and effective communication across the team.
  • Assist with the planning and coordination of events, gatherings, and family functions.
  • Support in organising domestic and international travel arrangements, including booking flights, accommodation, and transportation.
  • Prepare detailed travel itineraries and ensure all necessary travel documentation is in order.
  • Assist with personal errands for the family and Principal's PA, including shopping, gift buying, and other ad-hoc tasks.
  • Manage personal appointments and commitments for the family members as needed.
  • Handle basic financial tasks such as tracking expenses and liaising with the estate’s accounts department.
  • Uphold the highest standards of confidentiality and discretion in all aspects of the role.
  • Manage sensitive information with integrity and professionalism.

Key Requirements and skills:

  • Previous experience in a similar role in a private setting is essential
  • Experience in a luxury or high-profile environment is highly desirable
  • Strong organisational and time-management skills.
  • Excellent communication skills, both written and verbal.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and comfortable with technology and digital tools.
  • Ability to multitask and prioritise effectively in a fast-paced environment.
  • Strong attention to detail and problem-solving skills.
