We have a current opportunity for a Global Mobility and Immigration Adviser on a temporary basis. The position will be based in Abingdon. For further information about this position please apply.


Responsible for providing 360 secondee journey support, including welfare support, immigration advice, advice on relocation allowances, procedures, medical insurance, social security payments. Advisor to line managers and employees, liaising with third- party immigration providers, Legal, Finance, Insurance and Procurement departments. Ensures the organisation remains compliant with immigration practices, researching legal and regulatory requirements with respect to immigration, contractual, social security, taxation, various secondment related insurances and GDPR compliance. As a member of the HR team, involved in HR activities and projects as required, taking an active role in delivering and developing an exceptional HR service to business.

Overview

Manage employee' expatriation, onboarding, on assignment, repatriation and related operational processes
Planning and Recruitment

When a secondment/ long term visit is proposed, find out enough information in order to 'categorise' what kind of visitor/ secondment it might be and sign-post to others where appropriate. (Escalate cases where complex)

Advise on secondment advertisement process and arrange appropriate publicity of secondment opportunities to encourage others to put themselves forward for opportunities.
Immigration

Oversee the work of an external immigration specialists / advise employees requiring international business travel to overseas locations on what visa/ work permit/ insurances and any other documentation required and support them through the process.

Liaise with external immigration specialists to problem-solve and coordinate resolutions to complex immigration scenarios on a range of challenging visa requirements to find creative solutions, which will be immigration-compliant, that then results in a collaborative UKAEA project happening overseas.

From developing a deep understanding of visa categories for various countries and the complex visa scenarios that have been successful, advise management and employees on timeframes for obtaining visas and other documentation to enable forward planning of projects.

In relation to inward immigration to the UK, advise individuals, sending organisations and UKAEA line managers on the best immigration route for the type and length of activity. Support them through complex visa processes providing letters, guidance and information where needed. Where necessary manage UKAEA's sponsorship process for Temporary Worker Visas via the UK Home Office portal.

Relocation

Identify when taxation issues may need specialist advice and escalate. Contribute to regular updates with internal tax advisers.

Advise on UKAEA secondment or business travel policies, such as the travel and subsistence policy, working overseas policy, use of UKAEA IT equipment, etc.

Ensure notification to payroll and finance of important changes to pay, expenses, taxation, invoicing, tax forms etc. and draft individual letters to employees providing details of changes to terms and conditions when on secondment.

Observe and promote good GDPR practice at all times with individuals and third parties.

Act as main point of contact for questions, concerns, special requests, and adjustments to all things global mobility related, and respond in a professional, discreet, and swift manner, escalating issues to Line Manager where needed.
Process Improvement and Communication

Maintain a cost sheet for secondment related, per country costs. Audit and update annually.

Monitor and report on client experience internally, and with external suppliers, with the aim of ensuring feedback is used to improve or benchmark services.

Propose and implement process improvements, liaising with Finance, Procurement, Legal, Business Continuity, People Department and external third parties etc. Act as first point of contact for enquiries about secondments, long-term visits and business travel and provide advice and guidance; liaising with other departments to discuss and progress documentation that are required.

Prepare helpful guidance tools to improve all the processes above and the planning of secondments/ visitors in general.

Manage the Nucleus Secondment site where opportunities are publicised and support EDI principles in all matters.

Participate in HR projects as and when required.

Promote ideas to improve the secondment/ visitor experience for all parties

Maintain strong working relationships with suppliers, and wider Global Mobility network

Budget Responsibility:
No direct responsibility for budgets but a good understanding of where the considerable expenses involved in secondments/ visits will be charged to is required. Responsible for ensuring all Requisitions, Purchase Orders and Invoices are correctly charged.

Specific Qualifications/Experience:
Essential

Ability to collaborate with external suppliers, project managers, and cross-departments to deliver overseas projects, ensuring immigration, and relocation, requirements are met

Passion for customer service and growth mindset. Clear and culturally adaptable communication style. Able to navigate diverse stakeholders.

In-depth knowledge of various global business visas and UK immigration legislation, or ability to learn these.

A discreet and confidential approach to sensitive and commercial information. Strong understanding of GDPR and data compliance

An understanding of UK employment law concerning UK right to work and immigration legislation. Challenges practices that may not be in line with UK immigration legislation

Able to advise all levels in the organisation on complex business visa routes

Ability to interpret visa routes and international immigration legislation

Interest in and ability to research information on immigration, relocation, and medical insurance internationally.

Excellent IT skills, particularly Microsoft Office suite of software.

Excellent planning and organisational skills along with an eye for detail.

Desirable

Experience working in a similar role - HR, Global Mobility, Immigration, commercial or business.
