Permanent opportunity - PA - 9am - 5pm - Binley - Office Based - £40,000 per annum
Our prestigious client is looking for a dynamic, committed PA to support their 3 Regional Vice
Presidents and Facilities Manager.
The key responsibilities for the PA
- Maintaining and managing a diary ensuring that all meetings (one to ones, MS Teams Meetings, Zoom Meetings etc) are scheduled within appropriate timescales.
- Preparing itineraries for travel overseas
- Arranging flights, taxis, train reservations in advance and in accordance with company travel policy
- Liaising and negotiating with travel agents or hotels as required, when booking all travel arrangements in advance and in accordance with company travel policy
- Liaising with hotels and venues for events, arranging dinner or catering for both business or social events, ensuring they are planned and co-ordinated effectively and within budget
- Liaising with clients, suppliers and external bodies to arrange external meetings
- Planning and organising the work schedule to maximise use of time, allowing adequate time for meetings to ensure the day runs smoothly
- Making arrangements for all meetings - room booking, invitations, lunch arrangements, agenda distribution to ensure the Vice Presidents are well prepared
- Assist with setting and issuing Agendas for Team Meetings
- Meeting and greeting visitors at all levels of seniority
- Administration and support with the organisation of food and drinks for meetings organised at Binley Head Office
- Administration and support with for events/ training arranged by Facilities and Facilities communications to local offices
- Support with arranging office events
The essential experience for the PA
- A minimum of 5 years PA experience for Executive Directors in a large Commercial Business
- Advanced level Word and strong Excel and Powerpoint
- Excellent written and spoken English with a good attention to detail
- Can demonstrate ability to prioritise, and has examples of exercising discretion and understanding of confidentiality issues.
