We are seeking a highly organised and detail-oriented Administrator to join our team. The successful candidate will play a crucial role in ensuring the smooth operation of our office by providing administrative support. The ideal candidate will be immediately available and familiar with facilities maintenance industry.

Monday - Friday 8am - 5pm

Responsibilities

  • Correct allocation of reactive calls within contractual SLAs, submission to quoting team, and following calls through with required actions (subcontractor purchase orders, engineer attendance, etc)
  • Closing down PPMS
  • Consistently updating Concept call records with required information and regular call updates
  • Active review of the Due To Breach report and taking appropriate action to close calls
  • Ensuring QHSE documentation is maintained, processed and readily available, and reported on regularly (eg Hazard reporting)
  • Elogbook management and ensuring these are maintained to an appropriate standard
  • Ad-hoc items as requested
  • Actioning job chases received from the customer and ensuring regular updates are provide

Skills

  • Strong organisational skills with an ability to prioritise tasks effectively.
  • Excellent written and verbal communication skills, with attention to detail.
  • Proficiency in Microsoft Office Suite (Word, Excel ) and other relevant software applications.
  • Experience in compliance is highly desirable.
  • Ability to work independently as well as part of a team, demonstrating initiative and problem-solving skills.
  • Strong interpersonal skills with the ability to build relationships at all levels of the organisation.
