Our client, as small, dynamic independent company are looking for a proactive Office Administrator to join their team. This role involves a wide range of responsibilities that keep their business running smoothly and their customers happy.

We are looking for:

Someone with competent computer skills, a professional email and telephone manner, and preferably some experience working in an office environment. If you are organised, efficient, and ready to take on a varied role in a growing company, we’d love to hear from you!

Key Responsibilities:

Invoicing and Quoting:

  • Raise invoices for completed jobs by carefully understanding, interpreting, and converting engineers’ reports.
  • Write up quotations based on engineers’ estimates.

Job Scheduling:

  • Organise jobs to optimise business efficiency while maintaining high levels of customer satisfaction.
  • Schedule jobs for our tradespersons and ensure all necessary arrangements are in place.

Customer Service:

  • Answer incoming phone calls and handle customer enquiries with professionalism and politeness.
  • Respond promptly to email enquiries and book appointments.

Ordering Materials:

  • Source and order materials from suppliers, always prioritising cost-effective options for the business.

Administrative Support:

  • Handle general office administration tasks, including chasing late payments and renewing cover plans.
  • Send out service reminders and manage other office duties as needed.

Customer Communication:

  • Manage client communication for ongoing cover plans, send service reminders, and follow up on outstanding payments.
