We are looking for a Bid & Contracts Coordinator to join our Compliance Team at our head office in Derby. In this key role, you will be responsible for supporting the effective commercial, compliance, and operational activities of the business, with a focus on agreements, bids, proposals, client terms, and their management.

Key Responsibilities

Bid & Tender Coordination

  • Notify the Bid Lead of new opportunities and manage initial responses, such as Expressions of Interest.
  • Organise and disseminate bid and tender documents to the Bid Team.
  • Assist in the formation of bid teams and coordinate kick-off meetings.
  • Analyse bid requirements, assign responsibilities, and track actions.
  • Create SharePoint folders for document management and submission support.
  • Source and collate key supporting documents, working with internal teams as needed.
  • Manage internal deadlines, arranging review meetings to ensure timely progress.
  • Proofread, edit, and format bid proposals to meet client specifications.
  • Ensure on-time submission of all bids and proposals.

Contract & Compliance Support

  • Oversee the central mailbox, ensuring bid opportunities are actioned efficiently.
  • Manage bid and procurement portals, keeping profiles accurate and subscriptions up to date.
  • Proactively source bid opportunities through procurement notifications, industry news, and sourcing websites.
  • Maintain and develop a Bid Library, improving future bid capabilities.
  • Support the Head of Compliance and Assurance in ensuring robust contractual agreements are in place and regularly reviewed.
  • Record and communicate client-specific requirements outlined in contracts.
  • Supplier Management, including issuing internal tenders and supplier reviews.
  • Provide clients with updated company information upon request.

Additional Compliance & Coordination Duties

  • Assist with other compliance responsibilities, depending on team size and business needs.
  • Support administrative and coordination tasks across the business.

Who We’re Looking For

  • Experience in Bid Coordination, Contract Management, or a similar role.
  • Strong communication and organisational skills to liaise with internal and external stakeholders.
  • Ability to work proactively in a fast-paced environment with tight deadlines.
  • Exceptional attention to detail, especially in proofreading and document formatting.
  • Experience using procurement portals and managing bids, tenders, and contracts.
