Reporting to the Finance Manager the Purchasing and Procurement Manager will have a key role in the Management team.

Strategic Sourcing

Developing Procurement Strategies:

  • Create plans that align procurement with company goals and budgets.
  • Identify opportunities to optimise costs without sacrificing quality.
  • Supplier Relationship Management:
  • Build and maintain relationships with key suppliers.
  • Evaluate suppliers for reliability, quality, and cost-efficiency.
  • Negotiate contracts to secure the best terms.

Acquisition of Goods and Services

Identifying Requirements:

  • Collaborate with departments to understand purchasing needs.
  • Assess the quantity and specifications of required goods or services.

Supplier Selection:

  • Research and shortlist vendors based on quality, pricing, and delivery capabilities.
  • Conduct bids or Request for Proposals (RFPs).

Cost Management

Budgeting and Financial Oversight:

  • Monitor expenditures to stay within allocated budgets.
  • Analyse pricing trends and market conditions to save costs.

Negotiation:

  • Negotiate prices, payment terms, and delivery schedules to achieve favourable deals.

Contract Management

Drafting and Managing Contracts:

  • Prepare, review, and enforce purchase agreements.
  • Ensure contracts comply with company policies and legal regulations.

Risk Management:

  • Mitigate risks associated with supply chain disruptions, non-compliance, or contract breaches.

Inventory Management

Stock and Supply Monitoring:

  • Maintain optimal stock levels to avoid overstocking or shortages.
  • Coordinate with warehouse and logistics teams for efficient supply management.

Reorder Planning:

  • Establish reorder points and maintain supplier lead times to ensure timely replenishment.

Quality Assurance

Ensuring Standards:

  • Oversee quality checks on goods received.
  • Resolve disputes with suppliers over substandard or defective products.

Compliance and Sustainability

Ensuring Regulatory Compliance:

  • Stay updated on trade laws, import/export regulations, and other compliance requirements.

Promoting Sustainability:

  • Choose suppliers who adhere to sustainable and ethical sourcing practices.

Data Management and Reporting

Tracking Procurement Metrics:

  • Monitor supplier performance, cost savings, and delivery timelines.

Report Generation:

  • Generate procurement reports for management to assess purchasing effectiveness.
  • Keep all product records up to date.

Team Leadership

Managing the Procurement Team:

  • Train and oversee procurement staff.
  • Delegate tasks and ensure efficient operations within the team.

Collaboration with Other Departments:

  • Work with finance, operations, and product development teams to align procurement efforts.

Skills / Competencies

  • Experienced buyer with strong commercial awareness.
  • Proven record in sourcing new leading products in any market.
  • Direct experience negotiating terms with suppliers.
  • Experience working independently and comfortable with high level of responsibility.
  • Outstanding organisational skills with the ability to prioritise tasks and work to multiple deadlines.
  • Advanced Excel knowledge and comfortable with ERP systems.
