Business Support Coordinator - 12 month fixed term contract

Our client are looking for a Business Support Coordinator, to cover maternity leave on a 12 month fixed term contract. There may be an opportunity for a full time contract in a different position within the team at the end of contract but this is not a guarantee.
Sitting with the HR team, and reporting in to the Group HR Manager, this is a varied role that requires excellent multi-tasking skills, superb organisational ability and a strong character.
Principal Accountabilities/Responsibilities:
- First point of contact for external / internal key personnel
- Meeting and greeting visitors
- Organising and attending meetings where required and ensuring all documentation is prepared, and submitted in a timely manner
- Full admin support for the Senior Management Team giving priority when requested to the CEO
- Ensure and maintain logs for processes such as GDPR; IT and key logs
- Monitor and book all statutory training e.g. First aid, FLT courses
- Collating Environmental, Social & Governance Data (ESG) monthly updates
- Collating LDC data and submit within timely deadlines
- Maintaining the company Amazon account for purchases
- Credit card reconciliation for Senior Team Members
- Assist with collation and submission of the monthly External Board Pack
- To take minutes at meetings and provide general assistance during presentations
- Be the first point of contact for Facilities Maintenance including but not limited to maintenance of the building and equipment, managing maintenance contracts and dealing with any emergencies on site
- Collate, update and circulate diaries for the Senior Team and Regional Consultants
- Co-ordinate sales conference and sales meetings, including booking transport & accommodation and additional expenses
- Co-ordinate training for new agents, circulating details to prospective new agents and all relevant HO personnel and regional Consultants
- Generation of all documentation relating to Agents including raising contracts and relevant paperwork monitor, and tracking collection, and return of company equipment and arranging insurance where appropriate
- Complete audits of Agent’s kits, managing refurbs and updates
- Generating comms and letters to Agents as and when is needed
