SEN Administrator

We are seeking a dedicated SEN Administrator to join our team, responsible for providing comprehensive administrative support to our Special Educational Needs department. This role is crucial in facilitating the smooth operation of our SEN programs and ensuring effective communication among staff, students, and external agencies.

Day-to-day of the role:
  • Take minutes during daily briefings and distribute them to staff by 10am each day.
  • Create and maintain new student files, ensuring all documents are uploaded and current.
  • Manage the student referrals spreadsheet and update it regularly.
  • Schedule and coordinate all Speech and Language Therapy (SALT) appointments.
  • Upload and disseminate SALT reports using Arbor, our school reporting tool.
  • Compile SALT overviews and distribute them to all staff.
  • Provide updates for Safeguarding meetings through the SENDCo.
  • Maintain and update the CSW list, circulating it to all relevant staff.
  • Communicate with students and parents about their Education, Health and Care Plan (EHCP) progress.
  • Conduct classroom observations to gather evidence for the EHCP process.
  • Collect and organize student work samples to support the EHCP process.
  • Update and monitor student provision maps.
  • Support the peer mentoring scheme by organizing student groups.
  • Handle referrals to other services as required.
  • Organize all external mentoring appointments.
  • Serve as the primary contact for all external agencies, including Community Paediatricians and Educational Psychologists.
  • Ensure all student passports are current.
  • Provide administrative support to the Senior Leadership Team (SLT), including daily updates to the school diary.
  • Perform additional administrative duties as directed by the Head of School and SENDCo.
  • Uphold the values and ethos of the Trust while contributing to the overall vision of the organisation.
Required Skills & Qualifications:
  • Excellent interpersonal skills, including telephone and face-to-face communication.
  • Proven experience in an administrative role within a school setting.
  • Proficient in using ICT tools to support administrative tasks.
  • Ability to engage effectively with hard-to-reach parents/carers.
  • Strong organisational skills with the capacity to meet deadlines.
  • Proactive team player.
  • Understanding of the business needs of schools.
  • Comprehensive knowledge of confidentiality and safeguarding procedures.
  • Confident in speaking and writing with accuracy and appropriate vocabulary.
