About the Role:As one of the leading specialists in our field, we are looking for a Depot Administration Assistant for our Eastleigh Depot. The primary responsibilities of this role include providing administrative support to the depot, assisting with a range of administrative tasks, and delivering excellent customer service.
Key Responsibilities:-
Answer incoming telephone calls.

Use the Inspire database to produce Delivery Notes and Off Hire Notes for all hired equipment.

Produce hire quotations using the Inspire database for new and existing clients, liaising with the Depot Manager, Assistant Depot Manager, and Sales Manager as required.

Generate job sheets as required for Engineers.

Raise purchase orders as necessary.

Provide administrative support to office and yard staff as required.

Contact customers to chase outstanding quotes and maintain the quotation database (InspHire and Goldmine).

Perform ad-hoc administrative duties.

In the absence of the Depot/Assistant Depot Manager, carry out duties that are fair and reasonable to ensure the smooth running of the depot.

Comply with the Company Health & Safety Policy, including carrying out general housekeeping to maintain a tidy work environment.

Follow all aspects of the company’s ISO 9001:2015 procedures, proactively contributing to the company’s continuous improvement programme.
Essential:

Strong organisational and communication skills.

Ability to build effective working relationships with depot staff and colleagues across the company.

Numerate with good attention to detail.

Proficiency in IT, including MS Office applications.

A flexible and proactive approach to work.

Customer-focused mindset with a strong sense of commercial awareness.
Preferred:

Experience with systems such as InspHire, Access FocalPoint, Goldmine, or other CRM platforms.
