About the Role:

As one of the leading specialists in our field, we are looking for a Depot Administration Assistant for our Eastleigh Depot. The primary responsibilities of this role include providing administrative support to the depot, assisting with a range of administrative tasks, and delivering excellent customer service.

Key Responsibilities:
  • Answer incoming telephone calls.

  • Use the Inspire database to produce Delivery Notes and Off Hire Notes for all hired equipment.

  • Produce hire quotations using the Inspire database for new and existing clients, liaising with the Depot Manager, Assistant Depot Manager, and Sales Manager as required.

  • Generate job sheets as required for Engineers.

  • Raise purchase orders as necessary.

  • Provide administrative support to office and yard staff as required.

  • Contact customers to chase outstanding quotes and maintain the quotation database (InspHire and Goldmine).

  • Perform ad-hoc administrative duties.

  • In the absence of the Depot/Assistant Depot Manager, carry out duties that are fair and reasonable to ensure the smooth running of the depot.

  • Comply with the Company Health & Safety Policy, including carrying out general housekeeping to maintain a tidy work environment.

  • Follow all aspects of the company’s ISO 9001:2015 procedures, proactively contributing to the company’s continuous improvement programme.

Skills and Requirements:

Essential:

  • Strong organisational and communication skills.

  • Ability to build effective working relationships with depot staff and colleagues across the company.

  • Numerate with good attention to detail.

  • Proficiency in IT, including MS Office applications.

  • A flexible and proactive approach to work.

  • Customer-focused mindset with a strong sense of commercial awareness.

Preferred:

  • Experience with systems such as InspHire, Access FocalPoint, Goldmine, or other CRM platforms.
