We're a leading expert in exclusive, tailor-made travel experiences throughout Scotland, England, and Ireland, and we’re looking for a PA & Client Relations Coordinator to support our Managing Director and elevate our exceptional client relationships.

You will be at the heart of delivering outstanding service, ensuring smooth operations, and managing key client interactions that leave lasting impressions. As a PA & Client Relations Coordinator, you’ll be the primary point of contact for our Managing Director, managing their schedule, travel, and correspondence. You will also take charge of managing client relationships, ensuring our operations run seamlessly, and supporting various office functions. Every day will bring new challenges and opportunities in a vibrant, fast-paced environment.

• Act as the key liaison for the Managing Director, managing their diary and travel.• Handle sensitive information with utmost discretion and professionalism.• Manage and qualify new client inquiries, ensuring prompt and accurate follow-ups.• Oversee client care and relationship-building initiatives, including personalised gifting.• Input and manage leads from events, coordinating pre and post-event support.• Organise internal team celebrations and social gatherings to maintain a fun, connected workplace.• Prepare reports, presentations, and meeting agendas for the Managing Director.• Support the office by maintaining systems, managing recruitment processes, and overseeing office supplies.• Assist with compliance, insurance, and HR administration tasks.• Provide administrative support across all brands in the company.

Qualifications & Requirements:• Proven experience in a PA, administrative, or client coordination role.• Excellent organisational and multitasking skills with high attention to detail.• Proficiency in CRM systems (ideally Zoho) and Microsoft Office Suite (Word, Excel, PowerPoint).• Strong communication skills, both written and verbal.• Proactive problem-solving mindset and ability to prioritise effectively.• Team player with a positive, adaptable approach.• Familiarity with XERO accounting software and creative tools like Canva or Adobe Suite is a plus.

• Passion for the luxury travel and hospitality industry.• Knowledge of high-end travel trends and luxury service.• Ability to anticipate client needs and take initiative.• Enthusiastic team player contributing to a positive atmosphere.
