Job Title: Service Administrator (Maternity Contract)

Location: West Edinburgh (you will need your own transport to get to the location)

Remuneration: 25,000 - 27,000 per annum D.O.E

Contract Details: Fixed Term Contract, 12 months

Responsibilities:

  • React to client 'call out' requests and accurately log them onto the software package, ensuring all relevant information is recorded.
  • Handle follow-up visits and equipment requirements, ensuring clients have copies of service reports
  • Generate monthly client reports and create line and bar charts in Excel
  • Maintain an up-to-date contract list
  • Prepare and action monthly reports in compliance
  • Provide weekly reports on invoicing status, number of calls attended, and invoicing
  • Ensure all chargeable call outs are invoiced and chased where applicable
  • Monitor invoicing, including credits issued, and proactively manage incoming payments
  • Manage vehicle stock levels, liaising with engineers for returns or replacements, and maintaining spare vehicle stock.
  • Attend planning meetings to interface with installation teams
  • Book and coordinate engineer training, ensuring records are properly maintained
  • Maintain the call out rota and facilitate effective cover for each area, including an escalation process
  • Respond to quotes requests

SKILLS/EXPERIENCE REQUIRED:

  • Proven work experience as an Administrator
  • Strong organisational skills, including multitasking, time management, and diary coordination
  • Ability to work independently and collaboratively within a team
  • Proficiency in MS Office
