Operations Administrator /Administrator Coordinator

TheOperations Administratorensures the efficient management of operational administration within our clients team. This role encompasses a wide range of administrative and clerical tasks that support the Operations Team in delivering seamless and effective operations, please note the main base for this role is Tranent.

Salary- 27,000 + Progression opportunity

Key Responsibilities:

Operations Support

Workflow Coordination:

  • Liaise with and support relevant operational workshops (e.g., machine shop, secondary operations, fabrication shop, and dispatch yard) by managing paperwork.
  • Provide administrative assistance to Operational Supervisors, Managers, and the Head of Operations.
  • Assist in the development and alignment of workflows across departments to ensure operational efficiency and timely project delivery.

Logistics and Inventory Management:

  • Book transportation and manage Spin Galv and Galv Notes.
  • Create and distribute delivery notes.
  • Assist in maintaining and improving the delivery schedule.

Procurement:

  • Handle procurement activities, including obtaining quotes, processing purchase orders, and coordinating with vendors to ensure timely delivery of materials.

Quality Control Assistance:

  • Perform basic quality control tasks, such as scanning and organising quality documents to support the development of quality packs by the quality department.
  • Maintain and organise operational documents, including production schedules, work orders, and quality control reports.

Data Management:

  • Perform data entry and ensure accurate and up-to-date information is maintained in relevant systems or databases.

Communication and Coordination:

  • Schedule and manage meetings for the Operations Team, prepare agendas, take minutes, and follow up on action items as needed.
  • Provide ad hoc support for the Office Administrator to cover annual leave or other absences.
  • Coordinate and manage travel arrangements for Ops team members for work trips. Including booking transportation, accommodations for overnight stays and itineraries, ensuring seamless logistics and adherence to company policies.

Skills, Knowledge, and Attributes:

  • Proficiency in Microsoft Excel, Word, and Outlook.
  • Exceptional organizational, interpersonal, and communication skills.
  • A proactive and solution-focused mindset.
  • Ability to work independently and handle multiple tasks simultaneously.
  • Strong time management and prioritization skills.
  • Keen attention to detail.
  • Awareness of Data Protection regulations and GDPR, with practical experience in adhering to these guidelines.
