Main Duties and Responsibilities1. Overall* Support the firm in its intention to continually grow and develop the practice in all areas.* Strive to provide excellence of service to all clients.* Take a pro-active approach to the work carried out for clients.* Be alert to any problems being experienced by clients and react positively to these.* Take responsibility for noticing client care problems and for solving these.* Work towards clear objectives that support fee earners in the twin aims of generating and delivering client work.* Take part constructively in the performance review process and undertake agreed training and development activities.* Adhere to office and compliance procedures including health and safety.2. Daily Duties* Opening incoming mail and scanning to staff* Collection and preparation of outgoing mail* Providing advice to staff members on the most appropriate method of mail delivery including organising couriers and doing hand deliveries* Scanning and copying documents in accordance with the instructions provided* Distribution and tracking of unreferenced mail* Creating new client paper files* Data input in relation to the processing of closed files prior to sending to and uplifting the physical files from off-site storage* Data input in relation to the processing of client documents prior to sending to and uplifting the physical documents from off-site storage* General maintenance of all MDFs including paper refills, IT support and supply orders* Updating of library materials* Other ad hoc duties as required, including going to the Bank and Post Office and local hand deliveries* Providing reception cover when required
