The European Airport Properties & Relations team have an opportunity for a Coordinator to join the department.

You will be responsible for supporting the tender process for all EM airport and train station locations within Europe as well as contract management duties. In addition, the role will support the Vice President of European Airport Properties & Relations and the wider team with other departmental projects and tasks.

The role involves writing tender responses to help secure and retain on-site operations for Enterprise Mobility at European airports and major train stations. Working as a business partner to our rental groups, the Coordinator will play a critical role in our tender submissions ensuring all responses are completed to the highest standard, often within challenging time limits.

The Coordinator will possess excellent verbal and written communications skills, enjoy creative writing and problem solving, and be able to follow processes both within a team and individual framework

This position is based at the European Headquarters in Egham, Surrey.

Responsibilities

  • Analyse tender requirements, summarising and communicating them to the team and subject matter experts to ensure all response elements are understood.
  • Manage bid/tender timelines across multiple business lines ensuring key milestones are achieved in a timely manner.
  • Produce clear and concise answers to tender questions, shaping the Tender Response Library to ensure the highest possible question scores are achieved.
  • Build working relationship with subject matter experts from across the business and collate information for use in tender submissions.
  • Ensure quality control is maintained before documents are submitted.
  • Develop areas of product expertise and specialisations that recognise and communicate key selling points that when applied to increase tender success.
  • Identify opportunities to enhance and improve the tender process, whilst obtaining and sharing best practice with the team.
  • Participate in the contract and concession review process gaining understanding and proficiency in key contract language.
  • Coordinate and participate in internal tender meetings.
  • Prepare and communicate contract summaries to Rental Groups and relevant Enterprise Mobility departments.
  • Coordinate and implement new management tools, software and other systems for the department.
  • Maintain and update various reports on a regular basis.

Qualifications

  • Experience reviewing contracts, drafting lease language and/or preparing tender/RFP
  • Previous legal experience preferred, but not required
  • Excellent written and verbal communication skills
  • French, Spanish, German Language advantageous, but not essential
  • Analytical and problem-solving skills
  • Proven organisational and time management skills
  • Excellent attention to detail and high level of accuracy in written work
  • Ability to build great working relationships with colleagues
