Key Responsibilities:
  • Input and cleanse data in SAGE 200, the company's ERP system.
  • Provide general office support, including answering phones, assisting field engineers, and aiding the contracts team with customer inquiries to the best of your ability.
  • Prepare quotes, process small part orders from customers, and issue invoices accordingly.
  • Handle sales orders from contracts managers by registering orders, creating quotes (as needed), confirming orders, issuing delivery notes, and generating invoices.
  • Manage service and maintenance cases through Sicon.
  • Handle the return of goods for repair, warranty, or service.
  • Allocate stock to contracts as needed and assist in maintaining accurate stock records.
  • Investigate and resolve customer inquiries, ensuring a satisfactory outcome.
  • Identify areas for improvement in current workflows and systems.
  • Take ownership of mistakes, resolving or escalating them as necessary.
  • Ensure the continual accuracy of all data handled.
  • Work closely with the Systems Manager, Stores team, Account Managers, Contract Engineers, and Director to meet customer needs.
  • Provide coverage for colleagues during their holidays or absences.
  • Foster and maintain effective working relationships across departments.
  • Assist with any other tasks as directed by the Contracts Engineer or Director to ensure smooth departmental operations.
  • Adhere to all statutory, company, and regulatory health and safety rules. Ensure appropriate PPE is used when necessary and escalate unresolved issues to management or the Health & Safety Manager.
  • Continually enhance your skills and experience, and complete training as required to support personal and departmental growth.
