About the Role

A detail-oriented Purchasing Administrator is sought to join a busy team of Procurement specialists. With responsibility for managing crucial aspects of the purchasing process, you’ll be involved in creating and maintaining item records through to expediting orders to meet project deadlines. You’ll play a key role in ensuring our supply chain operates smoothly and efficiently, liaising closely with suppliers, vendors, and internal project teams.

The working pattern will be full-time, Monday to Friday, with two days spent in the office alongside your team and then three days can be worked remotely.

Key duties and responsibilities

  • Input internal sales orders.
  • Create and update item records using bespoke software.
  • Prepare and issue purchase orders.
  • Regularly review and adjust pricing to align with project bid rates.
  • Act as the primary point of contact with suppliers, addressing issues and escalating when needed.
  • Provide the Project Management Team with project lead time reports.
  • Expedite purchase orders to meet project deadlines.
  • Generate reports on purchasing activities as requested by management.
  • Collaborate closely with the Project Administration Team to meet project requirements.
  • Process and manage supplier 'Return Merchant Authorisations’.
  • Maintain a clean and accurate purchase ledger.
  • Update and manage the price list repository.
  • Assist with general office administration, including answering phones and greeting visitors.

Skills required

  • Strong relationship-building and communication skills.
  • Proficiency in Microsoft Office, especially Excel and Word.
  • High attention to detail with the ability to multitask effectively.

Bonus to have

  • Experience in procurement, buying, or supply chain roles.
  • Familiarity with project-based businesses.
