Assistant Property Manager

OA are recruiting for an Assistant Property Manager to join our client’s team as they continue to grow their client base.

You will need to have around 1-2 years property management experience as you will be responsible for overseeing reactive maintenance and where necessary, ensuring that job orders are raised appropriately before sending contractors to site, whilst keeping customers informed. The successful candidate will promote customer service excellence through leading by example and always ensuring the best customer experience is provided.

Location: Elstree, Borehamwood

Hours: Full-time, 9am – 5:30pm (Monday to Friday). You will spend approximately 3-4 days per week onsite, with the remaining days based in the office. Onsite locations include Reading, East Acton, Nine Elms, and Kings Cross.

Salary: Up to £33,000 depending on experience.

Assistant Property Manager - Key Responsibilities:

Responsibilities:

  • Manage portfolio and ensure excellent customer service.
  • Address customer queries and respond to emails/calls within 24 hours.
  • Oversee H&S, FRA, and legal requirements.
  • Action site reports and lift works; complete minutes and reports in 5 days.
  • Coordinate with Line Manager to meet deadlines.
  • Uphold values and contribute to company culture.
  • Obtain quotes and source local contractors for value.
  • Create and sign contracts, following s.20 regulations.
  • Maintain up-to-date H&S and FRA signage.
  • Authorise expenditure and manage cash flow.
  • Create and follow budgets with accounts.
  • Set up meetings, send minutes within a week.
  • Ensure prompt, cost-effective maintenance.
  • Authorise accurate seller’s packs.
  • Ensure compliance with legislation.
  • Verify asbestos reports or confirmations.
  • Participate in and lead training and team events.
  • Conduct site visits and update the system within a week.

Processing:

  • Set up and monitor insurance claims.
  • Write letters to leaseholders and residents about block issues.
  • Obtain at least 3 quotes for orders over £400.
  • Liaise with onsite staff and ensure they have necessary supplies.
  • Answer site queries and cover for absent managers.
  • Save reports, emails, and contracts in Qube.
  • Send updates via SMS and email for urgent issues.
  • Source local contractors and manage contracts.
  • Conduct site visits, take photos, and complete reports within 5 days.
  • Meet clients on-site for complex issues.
  • Reduce costs and improve service by building contractor relationships.
  • Contribute to monthly newsletters.
  • Update meter readings for sites with meters.
  • Re-tender contracts for best value.
  • Attend AGMs/client meetings and send minutes.

Assistant Property Manager- Skills and Experience:

  • 1-2 years Property Management experience.
  • Knowledge of property management principles.
  • Self-motivated to improve and develop.
  • Strong interpersonal skills to understand customer needs.
  • Proficient in QUBE and Windows applications (Word, Excel).
  • Excellent written and verbal communication skills.
