Estates Manager

The Role
The Estates Manager will lead a team with responsibility for maintaining the school buildings and facilities. S/he will lead the planning and implementation of a management programme to include planned, preventative and reactive maintenance to ensure high standards are achieved across the site.
Reporting to the Bursar, the Estates Manager will lead a team of four. S/he will work closely with the Senior Deputy Head, Head of Pre-prep and heads of Support Services departments. The Estates Manager is a high-profile role within the Support staff team and will be expected to work closely with all School colleagues.
Key Responsibilities
Maintenance:
- Ensure the school estate in maintained to a high standard
- Develop and implement an estates management programme to include planned, preventative and reactive maintenance
- Liaise with external contractors and consultants, as necessary
- With the Bursar, assist with the identification and management of Minor Works projects, ensuring a sufficient balance is achieved between works in holiday periods and enabling commercial activity on site to operate
- To deliver an effective and responsive maintenance ticket system, directing the work of the estates team and liaising with staff on matters of maintenance and repairs, prioritising and responding to requests as appropriate
- When appropriate, assisting the Bursar in the design, implementation and management of master plan projects
Security:
- Responsibility for security of all school buildings and property, ensuring school site is secure during and outside school hours, considering evening activities, lettings and various events detailed in the school calendar
- Arrange and participate in site cover in term time and holidays
- Ensure that all out of hours calls and emergencies are dealt with in a timely manner, and as per the agreed expectations. The Estates Manager will be on call at least one weekend in four, with additional responsibilities if living on site
Compliance and Health & Safety
- Ensure statutory requirements are met and relevant policies and documentation are in place, reviewed regularly and followed
- Ensure that there is appropriate management of statutory H&S compliance required by regulation and school policy for the site. This includes, but is not limited to, asbestos, legionella, PAT, COSHH
- Maintain compliance register of all statutory compliance records and retain supporting evidence for inspection purposes
- Ensure all fire systems and prevention equipment are properly and appropriately installed and maintained, and that all fire alarms and monitoring systems are regularly tested. Ensure records are maintained for the testing of fire doors in accordance with statutory and school policy requirements
- Maintain the asbestos policy and register
Skills and Qualifications
Essential:
- Experience of managing staff and contractor management
- Knowledge of relevant H&S requirements
- Experience in implementing systems, policies and procedures
- IT literate, including Microsoft Teams and Office 365
- To have a proven qualification and/or experience in a construction/maintenance environment
- Excellent interpersonal skills and the ability to communicate effectively (both written and verbal)
- The ability to collaborate with others and develop working relationships at all levels
- Attention to detail, with the ability to plan and organise effectively
- Self-motivated, with the ability to work under pressure, prioritise own workload to meet changing and conflicting deadlines
Desirable:
- IOSH and/or NEBOSH qualification
