Personal Assistant to Managing Director

12 month fixed term contract - maternity cover. Start December/early January.

My client is seeking a dynamic Personal Assistant to the Managing Director for a full-time, office-based role in a lovely modern office environment. This position offers a diverse range of responsibilities, requiring you to effectively prioritize and manage various administrative tasks, including event coordination. The ideal candidate will support multiple team members, demonstrating a high level of professionalism, initiative, and the ability to build strong relationships across all levels of the organization. Proven experience in a similar role and exceptional Microsoft Office skills are essential for creating high-quality, innovative presentations.

Key Responsibilities:

  • Prepare, collate, and distribute Board papers
  • Arrange travel and catering
  • Manage diaries and organize meetings
  • Handle correspondence and confidential documents
  • Perform general typing and filing
  • Maintain an efficient filing system
  • Take minutes as needed (excluding shorthand)
  • Arrange holiday cover for other administrators and distribute work during busy periods

Departmental/Office Administration:

  • Answer and direct telephone calls
  • Organize team events, including staff outings, briefings, and the Christmas party
  • Take minutes for weekly and project meetings
  • Coordinate and minute various meetings
  • Prepare offer letters and strategy documents
  • Manage invoices
  • Assist in setting up consultation events
  • Maintain contact lists
  • Promote a paperless environment through ongoing scanning
  • Provide ad hoc office support, including reception and phone coverage
  • Manage meeting rooms
  • Collate documents for applications
  • Oversee IT requirements for the team
  • Manage training and subscriptions
