Facilities Services Administrator

Location: Gillingham

Salary: £14.13ph / £23,881 per annum

Start Date: ASAP

We are looking for a highly organised and customer focused Administrator to join our dynamic team. This role offers a variety of responsibilities, combining front-of-house reception duties with administrative support to ensure the smooth running of the facilities department.

Key Responsibilities:

  • Front-of-House Reception:
    • Welcoming visitors and staff with a professional and friendly approach.
    • Directing visitors to the right location and issuing visitor passes or lanyards as needed.
    • Managing general enquiries and ensuring a high standard of customer service.
  • Room Booking and Event Support:
    • Coordinating room bookings and ensuring all required facilities are available.
    • Supporting event organisation, including setting up spaces, ordering supplies, and liaising with relevant staff.
    • Assisting with event logistics and ensuring smooth operations during events.
  • Administrative Support:
    • Ordering office supplies and maintaining stock levels.
    • Sending emails to confirm product needs, stock availability, and supply orders.
    • Assisting with general office administration tasks such as filing, record keeping, and document management.
    • Handling incoming phone calls and directing them to the appropriate person or department.
    • Assisting with purchasing and processing Purchase Orders (POs).
  • Customer Service:
    • Providing excellent service to staff, students, and visitors at all times.
    • Responding to queries promptly and efficiently, with a focus on delivering positive outcomes.

Skills & Experience:

  • Strong communication and interpersonal skills, with a friendly and professional manner.
  • Ability to handle multiple tasks and prioritise effectively in a busy environment.
  • Proficient in Microsoft Office (Word, Excel, Outlook) and familiar with office software tools like SharePoint and Teams.
  • Ability to work both independently and as part of a team.

Hours:

  • Monday to Friday: 8:00 AM - 3:00 PM (30-min lunch break)
  • Occasional Saturday work may be required for student recruitment events, with prior notice.
