We are seeking an Accounts & Administration Assistant to join our client, a training company in Glasgow. This role involves managing the processing of day-to-day transactions and invoices, maintaining company bank accounts and payments, ensuring accurate financial records, and assisting with general operational and administrative tasks. For this role you don't have to have significant accounts experience as full training will be provided, however some experience of invoice or purchase order processing would be advantageous. I am particularly interested to speak to you if you have administration experience within a training company or environment.Â
Day-to-day of the role:- Oversee financial transaction processing, including processing purchase invoices for payment, preparing regular payment runs, managing supplier queries, raising sales invoices, and allocating incoming payments to customer accounts.
- Reconcile company bank accounts and investigate any discrepancies.
- Assist external accountants with information requests for VAT returns or year-end accounts for audit purposes.
- Work with the Director to ensure the company is continually audit-ready.
- Support operational management and administrative tasks, such as booking training events onto CRM systems (Arlo, MS Teams & Xero).
- Coordinate with partner awarding bodies on event registration, result submission, and general queries.
- Prepare event materials, book venues, catering, AV equipment, and accommodations as required.
- Ensure delegates have adequate joining instructions and gather prerequisite evidence of learners if required.
- Manage the storage and distribution of completed course materials, feedback reports, and certifications.
- Generate reports as requested by the Director and Sales Manager.
- Handle calls, take in deliveries, order supplies, and maintain stock levels.
- Maintain a safe and healthy office environment.
- Perform any other duties as required to ensure the smooth operation of company activities.
- Proven experience in financial transaction processing and administrative support.
- Familiarity with CRM systems such as Arlo, MS Teams, and Xero.
- Strong organisational skills and attention to detail.
- Ability to work independently and as part of a team.
