Secretary (Business Support Specialist)Location: Glasgow City CentreSalary: £28,000 Contract Type: PermanentWorking Pattern: Full Time (Hybrid - one day WFH)Hours: 9.00 AM - 5.30 PMWe are currently seeking a dedicated Secretary/Administrator (Business Support Specialist) for our client, a leading property organisation situated in Glasgow City Centre. This full-time permanent position offers a hybrid work pattern, allowing you to work from home one day a week. You will play a vital role in providing direct support to Director and Senior Associate levels, ensuring seamless document and report production.Key Responsibilities:

* Provide comprehensive administrative support to allocated Directors and Senior Associates, including managing diaries, processing expenses, and organising travel bookings.* Administrative responsibility for the lifecycle of tasks assigned by Directors/Senior Associates from initiation to completion.* Audio typing * Produce high-quality documents and reports for fee earners, prioritising tasks to meet deadlines effectively.* Deliver outstanding client service by assisting fee earners with task uploads and guidance as needed.* Regularly provide progress updates and management of deadline expectations. * Create and amend documents using established master /house style templates. * Proofreading documents for quality assurance. * Compile fee earner updates for client reports, ensuring timely uploads for report creation.* Transcribe emails, letters, and other communications.Experience, Skills & Qualifications:* Previous experience in professional services firm, ideally in a similar role.* Audio typing* Proficiency in Office 365, particularly Microsoft Word, Excel, and PowerPoint.* Strong communication skills and keen attention to detail.* Experience with document management systems, preferably SharePoint.* Familiarity with dictation and workflow tools.* Friendly, approachable demeanour with a strong team spirit.* Excellent client service skills.* Proven ability to work to deadlines and achieve document turnaround KPIs.* Strong organisational skills and capability to multitask under pressure.* Fast and accurate typing skills.* Microsoft Office Specialist or equivalent certification is a plus.
