I currently have an exciting opportunity for a part time legal secretary with a forward-thinking law firm dedicated to providing exceptional legal services. Our Personal Injury team is committed to delivering high-quality support to our clients while fostering a dynamic and collaborative working environment.

As a PI Secretary, you will play a crucial role in supporting our fee earners, ensuring the smooth and efficient operation of the department.

Within this role you will be providing secretarial and administrative support to the Personal Injury department. You will work closely with partners and fee earners, managing daily tasks, client interactions, and legal documentation.

This role is part time, working 3 full days. Mondays are essential but other days can be flexible.

This role requires at least 1 day in the office per week.________________________________________Key Responsibilities:

Administrative & Secretarial Support* Typing daily correspondence and preparing legal documents with accuracy and efficiency* Assisting fee earners with administrative tasks, including form completion* Managing diaries, scheduling appointments, and coordinating meetings, including video/conference calls* Organising travel arrangements and preparing meeting materials* Handling confidential correspondence, internal and external documents, and reports* Taking minutes in meetings as required

Case & Document Management* Updating and maintaining client and case records within the firm's IT and document management systems* Assisting with the drafting, lodging, and updating of court documents* Organising and maintaining Counsel's papers, both electronically and in paper form* Preparing Judicial Accounts of Expenses under instruction from fee earners* Ensuring all scanned documents are saved to the appropriate folders

Client & Communication Management* Acting as the first point of contact for clients and third parties, ensuring professional communication* Proactively managing fee earner mailboxes, ensuring important emails are flagged and actioned* Updating client contacts and maintaining appropriate distribution lists

Financial & Compliance Support* Organising expense claims and collating necessary receipts* Processing invoices and ensuring compliance with internal financial procedures* Assisting with fee processing and maintaining accurate records* Closing files and ensuring all outstanding balances are reconciled________________________________________The Successful Candidate Will Possess:

Skills & Experience:* Fast and accurate keyboard skills* Strong working knowledge of Microsoft Office, including Word and PowerPoint* Experience with legal IT systems (Visual Files knowledge preferred)* Familiarity with Sheriff Court and Court of Session procedures and forms (desirable)
