About The Role:Days of Working: Monday to FridayKey Responsibilities:
- Run PPM tracker for both stat/non-stat and update daily monitoring the progress of each ppm ensuring everything is captured.
- Review and maintain incoming subcontractor and engineer certificates to ensure the correct paperwork is held
- Liaise with engineers, subcontractors and the Helpdesk when there is errors or missing paperwork to make sure that the correct documentation is received.
- Once received and checked, ensure all relevant documentation is pushed to the repository to be held
- Collate any additional/required works following PPM attendance to be sent to the supervisors for confirmation on whether there is remedials required
- Raise Stat/Non-stat remedial tasks and send them to the helpdesk to notify them that the works need scheduled in with the engineers/subbies.
- Keeping a tracker of STAT remedial tasks, checking daily and when remedial works are complete ensure the asset is compliant.
- Use and update the CAFM system as required
- Monitor the progress of PPM works during the live month and report issues to the relevant helpdesk/FC/FM to rectify
Key Hiring Criteria:
- Experience of working within a facilities management helpdesk is advantageous
- Administrative experience essential
- Good understanding and experience of Microsoft Office software packages and general IT knowledge, Microsoft Excel a higher degree of efficiency needed
- Experience in using CAFM or other management systems, Concept and/or Planon advantageous
- Right to work in the United Kingdom
- National security vetting BPSS
- Based in the Glasgow Office
