Customer Service Administrator

Start: Asap

Duration: 13 weeks temporary-permanent (permanent contract will be issued after 13 weeks)

Pay: 11.50-11.75 p/h (pay will rise to 12.00 p/h upon agency period completion)

Hours: Monday-Friday 08:00-16:30

Location: Quedgeley, Gloucestershire- Our client's office has onsite parking available, it is also conveniently located in Quedgeley, Gloucester, with nearby parking available at Waterwells Park & Ride just a 6-minute walk away.

Working within the art industry, as a Customer Service Administrator, you will play a vital role in delivering an effective and efficient customer service function. Your primary focus will be on resolving any problems or delays related to sales orders quickly and professionally.

Key Responsibilities:

  • Identify and process sales orders that require picking or are problematic due to stock unavailability or damage.
  • Communicate with customers regarding any missing or out-of-stock products on their orders, ensuring their satisfaction and taking appropriate action.
  • Unwrap, organise, and investigate unwanted or undelivered products received back into the warehouse.
  • Process product returns and refunds using the Orderwise ERP system.
  • Utilise carrier online portals to monitor delivery issues and effectively resolve them.
  • Contact customers regarding orders that cannot be delivered on time or as expected.
  • Collaborate with suppliers, purchasing, and distribution managers to gather cost and delivery information for providing customers with accurate quotes.
  • Take customer orders and process payments through PayPal Money Request or Bank Transfer.
  • Work closely with purchasing and distribution managers to ensure timely despatch and delivery of products to customers.
  • Conduct regular physical checks on items stored in our Gloucester Warehouse as required.
  • Verify measurements, kit contents, or hazard warnings listed on product containers and liaise with the web team to update product pages if necessary.

Requirements:

  • Keen interest in art and obtained a qualification in the subject (GCSE & above)
  • IT competent with a basic understanding of Microsoft packages.
  • Exceptional organisational and time management skills.
  • Proficient in delivering outstanding customer service.
  • Strong communication skills with the ability to effectively resolve problems.
  • Ability to liaise with internal teams and external stakeholders.
  • Positive attitude and willingness to go the extra mile to achieve customer satisfaction.
