We are seeking a highly organized and detail-oriented Administrative Assistant to join our team. This role is crucial for ensuring the smooth operation of our office by handling a variety of tasks related to organization and communication. The successful candidate will be responsible for managing general administrative duties in a dynamic, professional environment.
Day-to-day of the role:- Document Management: Process, log, scan, photocopy, and file all necessary paperwork electronically, ensuring efficiency and compliance with company standards.
- Personnel Processing: Handle sensitive personnel information in compliance with GDPR, maintaining confidentiality and integrity in all processes.
- Procurement Support: Assist in raising Purchase Orders (POs) in accordance with our Procurement Procedures to ensure timely and cost-effective acquisitions.
- Health & Safety Documentation: Collaborate with the Compliance Manager and Compliance & Resources Director to maintain and update all necessary Health & Safety documentation, ensuring regulatory compliance.
- Database Management: Manage and update intranet and database documentation, ensuring accuracy and accessibility of information.
- Proven experience in an administrative role.
- Familiarity with office management procedures and basic accounting principles.
- High proficiency in MS Office (especially Excel) and office management software.
- Excellent organizational and time management skills.
- Strong communication and interpersonal skills.
- Ability to handle confidential information.
- Knowledge of GDPR and experience in handling personnel data securely.
- Experience in handling Health & Safety documentation is preferred.
