Our client is looking for a Legal PA, ideally with experience in dispute resolution or contentious law, and familiarity with creating court bundles using online systems such as "Bundledocs." The primary responsibility of the Legal PA is to provide direct support to fee earners, helping them operate at maximum efficiency. This role will involve, but not be limited to, the key responsibilities outlined below. The Legal PA is expected to demonstrate strong self-management and initiative in their work.

Key Responsibilities:

  • Draft and prepare correspondence and documents, including transcribing digital dictation.
  • Organise and dispatch mail and related enclosures.
  • Progress client matters independently, without direct supervision from a fee earner, and in their absence.
  • Schedule appointments, arrange meetings, and maintain an up-to-date diary for fee earners.
  • Communicate with clients both in person and by phone, offering professional and friendly support in alignment with the firm’s client care standards.
  • Manage filing duties, including daily filing and the opening, closing, storage, and retrieval of client files, following procedures outlined in the office manual.
  • Oversee copying tasks, performing them personally if an Office Assistant is unavailable.
  • Prepare conference rooms for meetings as necessary, and ensure the room is tidied and cleared afterwards, including providing refreshments if requested.
  • Provide assistance to other PAs/secretaries as needed.
  • Offer guidance to junior and temporary secretaries when required.
  • Pursue specific training as necessary and take responsibility for personal development.
  • Safeguard the confidentiality of all firm and client documentation and information.
  • Complete online form-filling tasks as needed.
  • Operate the firm’s case management system.
  • Suggest improvements to enhance the efficiency of the department.
  • Perform other duties as required from time to time.

Experience and Skills Requirements

  • Significant prior experience as a legal secretary, including at least 2 years in dispute resolution (for the PA role). Candidates with less experience in dispute resolution may be considered at the Legal Secretary or Senior Secretary level.
  • Excellent touch-typing skills with high accuracy.
  • Advanced proficiency in IT and relevant software.
  • Ability to keep pace with fee earners’ workload and a strong understanding of their preferred working methods.
  • Proactive and positive approach to work.
  • Strong focus on client service, with the ability to engage effectively with both internal and external clients.
  • Ability to meet deadlines, manage pressure, prioritise tasks efficiently, and collaborate well within a team.
  • Clear commitment to the firm, with a genuine interest in legal work.
  • High standards of professionalism, courtesy, and respect when interacting with clients, colleagues, and contacts.
  • Willingness to take on additional tasks as requested by fee earner(s).
  • Desirable Skills: Prior experience with Practice Evolve or other case management systems; knowledge of legal practice and law.
