About the Role:
We are looking for an organised and detail-oriented Contract Administrator to join our Maintenance Team Office. This is a newly created position where you will play a crucial role in supporting the Lead Contract Administrator on a high-value contract covering multiple sites in London. The role is fully based in Guildford.
Key Responsibilities:

Process incoming work instructions via email and input jobs into the IT system.

Dispatch operatives/engineers to sites for maintenance and repair tasks.

Ensure real-time updates are made to the client’s IT system.

Accurately enter costs for billing, requiring a keen eye for detail.

Assist in planning and coordinating scheduled maintenance tasks.

Adjust schedules dynamically as needed.

Generate reports for the Contract Manager and clients.

Handle inbound and outbound calls with engineers and client site contacts.

Provide general administrative support to ensure smooth contract operations.
Key Skills & Experience Required:
Proven experience in administration, scheduling, or contract support (ideally within facilities management, engineering, or maintenance).
Strong IT proficiency – comfortable working with job management systems and Excel.
Excellent attention to detail to ensure accurate billing and reporting.
Strong communication skills, both verbal and written.
Ability to work in a fast-paced environment, handling multiple tasks efficiently
Experience liaising with engineers, contractors, or external clients is a plus.
Working Hours & Benefits:

Monday to Friday, alternating shifts:
- Week 1: 08:00 – 17:00 (1-hour lunch)
- Week 2: 09:00 – 18:00 (1-hour lunch)
