Legal PA (Private Client Team)

  • Annual Salary: Up to £32,000pa (Depending on Experience)

We are seeking a proactive and highly skilled PA to provide direct support to our Fee Earners in the Private Client team. This role is based in our Leatherhead office and is crucial for enabling our team to operate at optimum efficiency. The successful candidate will be expected to use a high degree of self-management and initiative.

Day-to-day of the role:

  • Provide administrative support to a team of four Private Client solicitors/fee earners along with two other part-time secretaries.
  • Prepare correspondence and documents through audio-typing and word processing.
  • Administer filing, including daily filing and the management of client files in accordance with office procedures.
  • Prepare mail and enclosures for dispatch.
  • Handle copying duties, and if necessary, perform these tasks personally in the absence of an Office Assistant.
  • Manage appointments, arrange meetings, and maintain up-to-date diaries for fee earners.
  • Prepare the conference room for meetings and manage the tidying and clearance of the room post-meeting.
  • Provide refreshments as requested.
  • Support other secretaries and provide guidance to junior and temporary secretaries as needed.
  • Attend to clients both in person and on the telephone, providing support in a professional and friendly manner.
  • Undertake specific training as required and take responsibility for personal development.
  • Ensure the confidentiality of all the firm’s and clients’ documentation and information.
  • Operate the firm’s case management system and maintain high standards of document presentation.
  • Suggest improvements to enhance departmental efficiency.

Required Skills & Qualifications:

  • Substantial previous legal secretarial experience, including at least 2 years in the specialist area of private client services.
  • Advanced IT skills in relevant packages.
  • Fast touch-typing skills.
  • High accuracy levels and excellent communication skills.
  • Ability to provide outstanding customer care.
  • Proactive approach to work and client matters.
  • Ability to work to deadlines, cope under pressure, use initiative, and prioritise workloads effectively.
  • Demonstrates clear commitment to the firm and a genuine interest in legal work.
  • Good general level of education.

Desirable Skills:

  • Experience with Practice Evolve, Aim/AXXIA, or other case management systems.
  • Knowledge of law/legal practice.
  • Experience with Isokon probate software (desirable but not essential).
