Our client is looking for a proactive and skilled Paralegal to support their Private Client Team with legal and administrative tasks. This role calls for professionalism, dedication and a keen eye for detail, with the flexibility to adapt to evolving business needs while upholding the firm’s high standards.

Key Responsibilities:

  • Greet clients and visitors upon arrival at the Reading or Beaconsfield office, ensuring a professional and welcoming first impression.
  • Handle all enquiries and client queries received in the office or via the dedicated Private Client enquiry line with politeness and professionalism, promptly passing on detailed messages and scheduling appointments accurately.
  • Support team members in meetings with new and existing clients, both in person and over the phone, as needed.
  • Assist the Private Client Team (and other teams when required) in keeping clients informed about the progress of their matters, ensuring clear and organised communication without providing legal advice.
  • Accurately record all time spent on tasks at the appropriate fee level.
  • Develop a strong understanding of the firm's Terms and Conditions, Money Laundering requirements, and Client Care Letter.
  • Create and update client files for the Private Client Team (and other teams as needed), ensuring all necessary identification and signed client care documents are properly recorded.
  • Accurately log key dates in the Private Client calendar in a timely manner.
  • Observe and assist team members in instruction meetings, taking detailed and precise notes as required.
  • Draft client correspondence and legal documents as needed.
  • Prepare Wills, Lasting Power of Attorney documents, Inheritance Tax (IHT) forms, Probate applications, and Court of Protection papers.
  • Work collaboratively with your team to maintain adequate supplies of stationery and office essentials, including printer ink, photocopier toner, and franking machine materials.
  • Frank outgoing post and ensure it is dispatched before the daily collection time.
  • Process client payments as needed and promptly inform the accounts team in the appropriate manner.
  • Actively participate in marketing initiatives to enhance the profile and growth of your team and the firm, both locally and more broadly.
  • Ensure compliance with Health and Safety requirements for all individuals on the premises or conducting business on behalf of the firm.
  • Attend all team meetings and any other meetings as invited.
  • Uphold and promote equality and diversity within the firm, treating all staff fairly and with respect.
  • Provide support to the COLP, COFA, MLRO, MLCO, accounts, and complaints teams as required, including assisting with billing guides, file reviews, and training needs.
  • Maintain a tidy and organised office, ensuring files, calendars, and records are up to date.
  • Safeguard the confidentiality of all company, director, employee, business, and client information.

Experience and Skills Requirements:

  • Strong organisational skills with the ability to manage multiple tasks efficiently.
  • Excellent communication and interpersonal skills, with a professional and courteous manner.
  • High level of attention to detail and accuracy in all tasks.
  • Ability to work independently as well as collaboratively within a team.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and case management systems.
  • Understanding of client confidentiality and data protection regulations.
  • Willingness to learn and adapt to evolving responsibilities.
  • Knowledge of legal terminology and procedures related to Private Client matters.
