I am working with an established, St. James's Place (SJP) partnered practice based in the heart of Harrogate, providing expert financial planning and wealth management services to individuals, families, and businesses. They were the number 1 SJP practice in relation to growth last year! They are seeking a Financial Planning Administrator to join the practice. You will be assigned advisers and clients to support from day one.

Main Purpose of the Job

As a Financial Planning Administrator, you will be an integral part of our team, supporting our financial planners by providing administrative assistance. You will be responsible for ensuring the smooth running of the practice by managing client records, assisting with the preparation of financial plans, and helping with client communications.

This role is ideal for someone with strong organisational skills, a keen eye for detail, and a passion for providing exceptional client service.

Key Responsibilities

  • Client Support: Assist financial planners with client communications, ensuring that clients receive timely and accurate information regarding their financial plans and investments.
  • Administration: Maintain accurate client records and documentation in line with compliance and regulatory requirements. This includes preparing and processing paperwork for new and existing clients, such as financial plans, reviews, and investment proposals.
  • Scheduling & Coordination: Organise meetings for financial planners, including preparing agendas, managing calendars, and ensuring that all relevant documentation is available for client meetings.
  • Document Management: Ensure all client documentation is correctly filed and updated, adhering to internal processes and compliance guidelines.
  • Compliance Support: Assist in ensuring that the practice meets all regulatory requirements by supporting the preparation of client files, ensuring documentation is accurate, complete, and compliant with St. James’s Place procedures.
  • Client Liaison: Communicate effectively with clients, responding to queries, updating them on the progress of their plans, and providing a professional and positive client experience.

  • Organisational Skills: Ability to manage multiple tasks, prioritise effectively, and meet deadlines in a fast-paced environment.
  • Communication: Excellent verbal and written communication skills to liaise with clients and internal teams effectively.
  • Attention to Detail: A keen eye for detail to ensure the accuracy of client records, financial documents, and compliance procedures.
  • Team Player: Ability to work collaboratively with financial planners and other team members to deliver outstanding service.
  • IT Proficiency: Strong proficiency in Microsoft Office (Word, Excel, Outlook) and other office software; experience with financial planning software would be an advantage.
  • Client-Focused: A professional and empathetic approach to interacting with clients and addressing their needs.

Experience, Knowledge, & Qualifications

  • Previous experience in a financial planning, wealth management, or administrative role is highly desirable.
  • Familiarity with the St. James’s Place systems and procedures is an advantage but not essential.
  • Strong understanding of financial planning processes and the ability to assist with the preparation of financial documents would be beneficial.
  • A proactive attitude with a willingness to learn and develop within the financial services industry.
