We are currently working with a £300 million turnover main contractor that undertakes infrastructure, Construction and property services across a broad range of public and private sector clients across the country.

The company predominantly undertakes social housing schemes including new build, planned maintenance, reactive maintenance and large-scale regeneration schemes valuing between £10 million and £30 million.

The Role

Our client is currently seeking to recruit a Document Controller to join their team in Hertfordshire on a Hybrid Basis.

As a Document Controller in construction, you will be responsible for managing, organising, and maintaining all project-related documentation to ensure efficient access, compliance, and communication.

This role is crucial for keeping construction projects on track and meeting regulatory standards.

The ideal candidate will have experience using Fieldview and Viewpoint.

Roles and responsibilities include but are not limited to:

  • Implement and maintain efficient document control processes and procedures to ensure compliance with project and company standards
  • Develop, update, and manage the Document Management System (DMS) to facilitate seamless document handling and retrieval
  • Oversee the flow of all project-related documents, both electronic and hard copy, ensuring accuracy and accessibility
  • Ensure adherence to document control standards, including numbering, formatting, issuance, review, distribution, recording, and archiving
  • Maintain and organise electronic and physical documents, ensuring proper version control and accessibility
  • Process incoming documentation, including registration in the DMS, internal distribution, and secure archiving
  • Manage outgoing documentation, ensuring timely and accurate transmission to clients, suppliers, and third parties
  • Distribute controlled copies of the latest approved documents and drawings to internal teams, clients, and suppliers
  • Ensure accurate control and coordination of project documentation and data to maintain consistency and compliance
  • Upload and manage files in various formats on document control platforms such as 4P, Fieldview, and other relevant systems
  • Ensure all project drawings and documents are correctly identified, stored, and distributed as required
  • Perform general document control activities, including photocopying, scanning, and reviewing supplier documents for compliance with project standards
  • Assist in the preparation, collation, and distribution of reports and registers as needed
  • Communicate and collaborate with project teams, suppliers, and third parties to establish document control standards and ensure smooth document handovers
  • Monitor the review and approval process for technical documents, ensuring compliance with agreed schedules
  • Track documentation progress in collaboration with the project planner to maintain alignment with project timelines
  • Ensure the use of standardised forms and templates to maintain consistency across documentation
  • Establish and maintain the Master Document Register in coordination with the project team
  • Collate, produce, and submit QA documentation to clients, ensuring all required records and certifications are in place
