Senior Administrator

On behalf of my client based in Brookman’s Park, I am recruiting for a Senior Administrator to join their Executive Support Team. This role is crucial in providing effective support and ensuring the smooth delivery of key tasks for the Principal & President, Deputy Principal, and Vice Principals. The successful candidate will be instrumental in managing communications, coordinating schedules, and supporting various administrative tasks.
Day-to-day of the role:
- Monitor and action a busy email inbox for the Principal & President, ensuring prompt follow-up actions and reminders.
- Maintain action trackers for the Principal & President, Deputy Principal, and Vice Principals.
- Coordinate diary arrangements including internal meetings, external conferences, and events.
- Arrange complex travel plans in liaison with relevant executive officers.
- Support financial transactions and manage expenses, including raising purchase orders and submitting expense claims.
- Provide support for meetings and committees, including compiling meeting materials, overseeing logistics, and taking minutes as required.
- Organise and coordinate both internal and external events, ensuring smooth execution whether in-person or online.
- Prepare, edit, and file correspondence, communications, presentations, and other documents.
- Provide substantive cover in the absence of key executive support members.
- Work flexibly and collaboratively within the Executive Support Team to meet the broader needs of the senior management team.
Required Skills & Qualifications:
- Demonstrable competence in using standard desktop software packages such as Microsoft Word, Excel, PowerPoint, Outlook, and Adobe at an intermediate level.
- Proficiency in managing virtual meetings using Zoom and Teams.
- Effective management of multiple diaries at a senior level.
- Comprehensive experience in providing professional meeting support
- Excellent verbal, written, and interpersonal skills.
- Ability to draft correspondence on behalf of the senior executive team.
- Experience in minute taking and report writing.
- Ability to build strong relationships with both internal and external stakeholders.
- Able to multi task in a fast paced environment.
