My client is seeking strong previous experience of working as an Executive Assistant and reporting into senior management.

Executive PA - the role:

We are looking for an Executive Assistant to the Senior Partner/Founder. This unique role will place you at the heart of the firm’s operations, providing high-level support across the Partner’s diverse business ventures that span a law firm and two other organisations. If you thrive in a fast-paced environment and deliver meticulous, proactive support, this role will be perfect for you.

This role is ideal If you have at least 3 years of experience supporting at Partner or C-suite level, ideally within a law firm or professional services firm. Other sectors will be considered.

Responsibilities and duties will include:

Organise the Partner’s calendar, schedule meetings, prepare agendas, and take minutes, ensuring efficient time and resource management.

Oversee in-boxes, manage and file documents, maintain confidentiality in correspondence.

Prepare and monitor budgets, prepare and issue invoices in accordance with contracts, match and record incoming invoices and prepare payments for authorisation, manage expenses.

Process and draft invoices and provide occasional back-up to the firm’s legal cashier to prepare payments for approval and release and maintain client ledgers.

Act as the first point of contact for internal and external parties, handling correspondence professionally, assist with implementation of management policies.

Coordinate travel itineraries, process visa applications, and support special projects.

Assist with event planning and LinkedIn profile updates.

Experience, competencies and knowledge required:

The successful candidate will have a strong background as a PA or EA to a C-suite member, preferably in a law firm or professional services environment. You will possess a proven history of excellent organisational and communication skills, professionalism, initiative, discretion, and a positive can-do attitude. You will also need:

A calm demeanour under pressure, with a proactive approach.

Flexibility and adaptability, with the ability to work independently and as part of a team.

Proficiency in managing busy schedules and multiple in-boxes.

Strong organisational and time management skills

Exemplary attention to detail with high accuracy in numeracy and literacy.

A demonstrated commitment to maintaining confidentiality.

Effective communication skills, building positive relationships with stakeholders.

Ability to produce formal reports and presentations to a high standard.

Experience with board and committee governance meetings.

Advanced skills in Microsoft Office (Word, Excel, PowerPoint)
