We have a fantastic opportunity for an Administrator at Rochdale Council, this is a full-time temporary role for the next 3 months with the possibility of extension.

What is the role?

Rochdale Council are looking for an Administrator, to be responsible to the Business Support Manager for the efficient and effective provision of a wide range of business/technical support functions within the Environmental Management Service. To also provide Reception cove, and be part of a team providing a flexible, efficient and effective support in accordance with Council and service policies and procedures.

What are your responsibilities?

  • To be undertake a range of business/technical support functions in response to service specific needs or instruction from the Business Support Manager including:
  • Reception/Telephone
  • Data Input and Retrieval
  • Environmental Management Records – electronic & paper
  • Processing and Distribution of Incoming & Outgoing Mail
  • Assisting in the Procurement of goods and services including ordering stationary
  • Maintaining data quality in relation to all Environmental Management records
  • Preparation and collation of information including preparing incoming payments for central banking and taking Paris payments
  • Assisting with the collection of data for the Service Key Performance Indicators
  • Checking documents/information
  • Word Processing
  • Logging customer/member queries
  • Vehicle hire administration
  • MOT – Taxi driver administration
  • To be the main customer contact at Green Lane Reception in person and by telephone
  • Provide technical assistance; information and guidance on any issues relating to the provision of the service.
  • Maintain records, which could include personnel records, casual employees register, and details of room hire, functions etc.
  • To use ICT systems in completing duties – for example Word for typing letters, and Excel for spreadsheets
  • Prepare routine correspondence around standard processes.
  • To prepare and keep up to date information about the service.
  • Assist in monitoring levels of office consumables, monitoring inventories and ordering stocks as appropriate. To assist with the processing of orders and invoices, ensuring invoices are paid within the Council’s target. To collate orders, requisitions, delivery notes and process invoices.
  • To assist with the preparation of Sundry Debtors Accounts. Prepare interservice recharges where required.
  • To assist in the reconciliation of cash income and prepare for banking. Maintain a record of cash and cheques received.
  • Deliver a customer focussed service by responding pro-actively to requests for advice, guidance and support in an efficient, effective and timely manner.
  • Liaise as appropriate with Managers, officers, suppliers and customers as appropriate.

What skills do you Need?

  • Must have recent experience of working as Administrator or Business Support Officer.
  • Strong IT Skills, as you will be using Microsoft Office, and internal Council IT Systems
  • Excellent people skills, as you will be speaking to the public, other members of staff and managers.
  • Excellent Telephone manner
