We are looking for a Receptionist/Administrator to provide a warm welcome to visitors and deliver exceptional customer service to both internal and external customers. This role is pivotal in managing the reception area, handling post, ordering supplies, and providing comprehensive administrative support to various teams within the office.

Day to Day of the Role:
  • Answering incoming telephone calls promptly and courteously.
  • Greeting visitors and providing a knowledgeable welcome.
  • Maintaining visitor records and ensuring the reception area is tidy and welcoming.
  • Managing incoming and outgoing mail and ensuring deliveries are distributed promptly.
  • Preparing meeting rooms, including setting up technical equipment and organising lunches.
  • Providing administrative support to various teams within the office.
  • Ordering and monitoring stationery, site clothing, and office supplies.
  • Keeping kitchens stocked with refreshments.
  • Updating telephone lists and maintaining the Admin Folder.
  • Handling filing, photocopying, laminating, and binding tasks.
  • Managing credit card expenses and liaising with suppliers.
  • Organising couriers, taxis, and hotel bookings for senior staff.
  • Ordering business cards and acting as the Samaritans representative for the office.
Required Skills & Qualifications:
  • Proven experience in an administrative role.
  • Ability to work independently and proactively.
  • Strong organisational skills with the ability to meet deadlines under time pressure.
  • Excellent interpersonal skills to develop and maintain relationships with clients and colleagues.
  • Ability to prioritise a diverse range of tasks.
  • Intermediate proficiency in Microsoft Office Suite, particularly Word, Excel, PowerPoint, and Outlook.
  • Experience in an office environment and delivering excellent customer service is essential.
