We are recruiting for a part time Administrator/Book-keeper for our client based in High Wycombe. Within this role you will be liaising with customers, producing annual quotations, receive and administer the orders and issues electronic job instructions to our engineers. The successful candidate must be computer literate including Word, Excel and Outlook.

Hours-20 hours per week (9.30am - 2.30pm)

  • Liaise with our customers and confirm contact details are correct.
  • Determine which standard (repeat) jobs need to be quoted each month.
  • Obtain costs for any special materials that are required.
  • Liaise with other team members regarding the costs for each job.
  • Produce our standard (repeat) quotations using standard templates.
  • Follow up quotations with customers.
  • Receive and process orders from our customers.
  • Purchase any special materials required for a job.
  • Agree a convenient date/time with the customer and schedule an engineer to do the work.
  • Confirm the booking to the customer and issue Method Statements and Risk Assessments.
  • Issue electronic job file to the engineer.
  • Maintain database with records of communications.
  • Liaise with our Business Development Manager who produces the quotations for new jobs/customers.
  • Liaise with our Commercial Manager regarding commercial queries purchase orders and invoicing.
  • Maintain records of Training requirements and book courses.
  • Send invoices to customers
  • Assist with compiling documentation for sales and purchase ledgers
