Job Title: PART TIME Customer Service Officer

Pay Rate: 14.84 an hour PAYE

Hours: PART TIME 16 Hours a week Daily shifts approx. 09:00 - 12:30 daily Monday to Friday

Duration: 3 Month Contract

Location: Hybrid working- to be based from Hounslow House 2 -3 days a week

Description

PURPOSE OF ROLE:

Main task - will be customer service answering calls to parents with children on Educational Health Plan, recording information on email, putting calls through, uploading documents, printing documents, supporting general admin tasks in teams.

The main role is to be the first line of contact to the customers, so someone who enjoys answering calls and wont be phased by difficult customers. Ability to take down information, add to system/spreadsheet/good ICT skills as we use management information system. Team player, who will muck in, and enjoys a lot of telephone work. Reliability is key and willingness to come into the office as Business support are the front line of the council.

KEY ACCOUNTABILITIES:

1 Organising BACs payments or setting up cashless payment cards for payments to organisations, service users, social workers and Care bank staff ensuring compliance with financial processes.

2 To use the departmental credit card for all one-off and travel related expenditure ensuring that the amount spent does not exceed the monthly permittable amount. Reconciliation and adjusting for VAT amounts completed monthly.

3 Issuing travel warrants and processing purchase orders to order equipment and services ensuring that managers and staff are following the correct procedure. Ensuring that there is an audit trail for all financial commitments.

OTHER DUTIES AND RESPONSIBILITIES:

2.1 To scan all documents to relevant systems and / or archived as appropriate.

2.2 To date stamp and distribute all incoming mail, check shared mailboxes and faxes and action.

2.3 To receive and bank all income ensuring the completion of all supporting documents.

2.4 Provide management information as requested.

2.5 Contribute to any audit both internal and external.

2.6 Contribute to the development of systems e.g. user acceptance testing, and training.
