Taskmaster Resources Ltd are looking to recruit a permanent member of staff to join their team as a Facilities Administrator at the prestigious Huddersfield based client-a large, well-known distribution and customer service centre.
JOB PURPOSE:
Responsible for delivering strategic administrative PPM and break fix plan.
Responsible for creating/filing of training plans, and supporting effective staff deployment to improve productivity, and quality of work.
Coordinate PPM (Internal/External) and break fix requirements. End to end Tasks liaison via Jira software.
Adequate filing of paperwork associated for record purposes.

Accountabilities
Safety
Ensure activities are carried out Safely, in compliance with Risk Assessments, Legal Responsibilities and Safe Working Practices by obtaining necessary H&S documentation from contractors before site visit.
Ensure all activities have Safety, Health and Environment factors considered.
Work collaboratively with Health & Safety to implement best practice working. E.g. COSHH, etc.
Contribute to improving Safety on site through identifying improvements that can be made.
Ensure Safety conversations are held with feedback to drive a safety-first culture in the absence of FM.
Liaise with Operations and H&S Manager for completion of Permit to Work required for contractors on arrival to site.
Quality
Support the site Quality Agenda, by ensuring a right first-time approach with obtaining adequate information required from customers, engineers and contractors.
Ensure adherence to SLAs and feedback to customer on delays.
Maintain both physical and electronic files accurately.
File compliance administration documents accurately to ensure regulatory requirements are met.
Follow up on necessary work to ensure compliance, including the maintenance of appropriate certification.
Organise and schedule calls, tasks, meetings, and other activities for the facilities team as required.
Delivery
Deliver excellence to PPM plan by keeping within SLA and sought support where required before due date.
Ensure engineers are aware of any overdue or urgent jobs that requires urgent attention.
Ensure an action driven approach is taken to drive down missed deadlines of jobs.
Liaise with relevant department for Purchase Order before scheduling a payable external PPM site visit.
Organise and schedule contractor visits coordinating with external companies as needed.
Cost
Work with contractors and engineers to drive down cost where possible
Source alternative quotation from different vendors to confirm best price.
Agree any callout charges with FM prior to scheduling.
People
Promote a culture of engagement and inclusion.
Assign Jira jobs to engineers with skillset required using training matrix.

Collaborate with line managers and other team members to prioritise and complete tasks in a timely manner, while ensuring the best possible cost efficiency.
