Macildowie are looking for a detail-oriented and professional Administrative Assistant to support a well-established company in Derbyshire. The successful candidate will have strong communication skills, a positive and approachable attitude, and the ability to handle multiple tasks in a fast-paced environment. Legal experience is advantageous.

This is a full-time, permanent position.

Salary: Up to £24,800 dependant on experience.

KEY RESPONSIBILITIES:

  • Welcome visitors and clients with a friendly and professional approach.
  • Guide visitors to the appropriate person or meeting area.
  • Handle incoming calls with professionalism and courtesy.
  • Monitor office supplies and reorder as needed to ensure availability.
  • Assist with general administrative duties such as filing, photocopying, and scanning.
  • Respond to client inquiries in a helpful and timely manner.
  • Prepare and issue quotes for clients.
  • Retrieve and organize documentation from storage for client collection.
  • Assist clients with document pick-ups when needed.
  • Maintain a clean, organised reception and meeting spaces, ensuring availability of necessary materials (e.g. pens, forms, and brochures).
  • Sort, scan, and distribute incoming mail and deliveries.
  • Ensure office security by adhering to safety protocols and monitoring access.
  • Schedule meetings and appointments while managing calendars efficiently.
  • Monitor and manage ordering of photocopier supplies.
  • Offer clerical support to team members as required.

REQUIRED EXPERIENCE:

  • Skilled in administrative support with a solid background in clerical duties.
  • Experience with specific software tools is a plus, but not required.
  • Familiarity with Practice Evolve is advantageous but not essential.**
  • Professional phone communication and clear verbal expression are essential.
  • Quick and accurate typing skills for efficient data input are a must.
  • Proficiency in using computer software, especially 0365 Suite.**
  • Strong organisational capabilities with a sharp eye for detail.
  • Able to prioritise tasks effectively and manage time well in a fast-paced setting.
  • Proactive in finding solutions and collaborating with team members.
